Counter billing
Sell at your own counter without Square: scan or search the items, take the payment, then print the bill or send it on WhatsApp. Stock leaves your shop as you sell, and GST-registered shops in India get a tax invoice for every sale.
Who can sell: staff, managers, admins and owners. Viewers can open the page but can't sell.
Open Counter in the menu. It works on a phone, a tablet or a computer with a USB or Bluetooth barcode scanner.
Choose your shop
Pick the location you're selling from at the top right. Stock leaves that location. The counter remembers your choice on this device.
Add the items
- Scan a barcode with a hand scanner: the scanner types the code and presses Enter, and the item is added. Scanning the same item again adds one more.
- Type a barcode or SKU and press Enter, or type part of a name and pick from the list (the arrow keys move through it).
- Camera: tap Camera to scan with the phone or tablet camera.
- Change a quantity with − and +, or type it. The bin removes a line.
Items are sold at their selling price. A product that comes in options (sizes, colours) is sold by scanning or searching the exact option.
Customer (optional)
Tap Add customer to:
- Find a customer by name, phone or email, or
- type a name and phone. A phone number saves the customer, so next time the same number finds them. The phone is also used to open their WhatsApp chat when you share the bill.
- India: Business purchase (GSTIN). Turn it on for a registered business buying from you. Enter their GSTIN, name and address (street, city, state and PIN); their GSTIN is checked. For a saved customer, their saved billing address is used unless you type one. Every taxed item needs an HSN code on a business customer's tax invoice; the counter tells you which items are missing one before anything is saved.
A bill of ₹50,000 or more needs the customer's name and address (GST rules).
Discount and total
Discount on bill takes an amount off the whole bill (spread over the items before tax). The total is worked out as you go from your Settings → Tax:
- India: prices include GST; the bill shows CGST and SGST (or IGST) and a Round off line to the nearest ₹1 if your tax settings round bills.
- US: sales tax is added on top.
- No tax set up: no tax, as before.
Take the payment
Choose how the customer pays:
- Cash: type the cash received to see the change to give.
- Card: take the payment on your own card machine first, then optionally note the slip number. SupplySynk only records the payment.
- UPI (India, when your UPI ID is set in Settings → Payments): press Show UPI QR. The customer scans the QR with any UPI app and pays your UPI ID directly; the money never passes through SupplySynk. Check it arrived in your UPI or bank app, then press Paid (the 12-digit UPI reference is optional). If they don't pay, press Cancel sale: the items go back on sale. Next customer, pay later keeps the sale waiting; it's listed at the top of the counter until you mark it paid or cancel it, and its items stay reserved meanwhile.
Press Complete sale (or Ctrl + Enter) once the total shows. If an item doesn't have enough stock at your location, nothing is sold and the counter says which item. Pressing twice, or retrying after a lost connection, never sells twice.
Unfinished sales
If something goes wrong after the payment was recorded (for example the connection drops), the sale can be left paid but not handed over. The counter lists unfinished sales at the top (UPI sales waiting for payment, and paid sales not handed over). Open one and press Hand over to finish it, or Cancel sale: its items go back on sale and the payment is marked refunded, so give the customer their money back. A sale that was handed over can't be cancelled; record a return on the order instead. When every item of a counter sale is returned, its payment is marked refunded; after a partial return it stays paid, so note any money given back on the order. A counter sale's payment can't be changed by editing the order: use Paid, Hand over or Cancel sale on the counter.
After the sale
- India, GST-registered: the Tax Invoice (or Bill of Supply on the composition scheme) is issued with its number. Open bill to print opens the bill page; choose 80 mm for a receipt printer or A4, then print or save as PDF. If the invoice couldn't be issued (for example a missing detail), the counter says why; fix it and use Try again on the order.
- Other shops: Print receipt prints a simple receipt (80 mm or A4).
- Share on WhatsApp opens WhatsApp with the bill (and, for GST invoices, the link to view or print it); with the customer's phone, it opens their chat.
- New sale starts the next bill.
Counter sales are orders with the channel Counter: find them in Orders (filter Counter), where you can record returns as usual.
